Defining the outcome automation should pursue
An automated system follows the objective and feedback it receives. If it is trained on every form submission, it may favour volume without distinguishing useful enquiries from poor-fit responses. Improving the signal can therefore matter as much as changing campaign settings. The workflow needs to distinguish recommendations from actions. Decide what may change automatically, what requires approval and how the team will identify an unexpected result.

How the workflow is structured
Use these points to define the requirements and responsibilities for your setup.
Choose the KPI
Define the action that represents useful progress, whether that is an accepted lead, a purchase or another agreed outcome. Check that it can be measured consistently.
Prepare the feedback
Identify where outcomes are recorded and whether they can be returned to the relevant advertising system. Confirm the connection, permissions, timing and treatment of duplicates.
Set operating limits
Agree budget limits, eligible campaigns and approval requirements. Establish what should happen if a source stops updating or the feedback becomes unreliable.
Review the effect
Assess changes against the agreed outcome and business context. Keep a record of adjustments, unexpected results and decisions to pause or revise the approach.
Using qualified-lead feedback
A campaign receives a mix of useful and unsuitable enquiries. Sales records an agreed qualification stage. Where the platform and connection support it, that stage can inform optimisation instead of treating every form as equally valuable. Reporting still checks volume, quality and the delay before qualification.
Confirming the implementation
Supported return channels, server-side collection and conversion APIs depend on the advertising platform and source systems. They are not interchangeable or automatically available for every entry in the directory. Agree the implementation, monitoring and approval process before enabling automated actions.
